WARG Equipment for Non-WARG use
Motivation
WARG needs to be careful to ensure our equipment is used to ensure we are not taking on unnecessary liable for safety incidents that may occur regarding the use of our equipment. All guidelines must be followed unless a team director grants an exception. Further, in any case of uncertainty regarding these guidelines an executive director must be conferred with (Note that a team director may grant exceptions to any of the policies on a case-by-case basis.). When asked nicely about using WARG equipment, WARG members should directly cite this policy and our safety concerns when declining.
Safety Exception
Please apply common sense and be ready to justify your actions. In the case, quipment is required for immediate and severe safety concerns (i.e. medical emergency, fire, natural disaster, etc.) anyone may take or loan equipment. Following utilization of the safety exception, once the incident is completed, executive directors must be notified. Executive directions are responsible for documenting reports in Confluence and will ask questions regarding the details of the case. [Add link to incident report Confluence section]
Conditions for Personal Use
WARG exists for its members to learn more about aerospace, aviation, and engineering. To that extent, WARG recognizes that individuals may work on projects related to these disciplines outside of WARG, and that WARG has some resources used for team purposes that can prove beneficial to its members outside of the design team, such as oscilloscopes and drills. WARG Equipment for Personal use as allowed without lead permission as long as the following guidelines are followed:
Active team members only - The individual wanting to use the equipment must be an active team member who has completed all of the required onboarding activities.
WARG work takes priority - If a WARG member would like to use the equipment for a WARG project while a member is using WARG equipment for a personal purpose, the member currently using the equipment will allow the member who wants to use it for team purposes to use the equipment.
All equipment remains in the bay - Equipment should not be taken out of the bay to be used by a member for a personal purpose.
Follow Consumables Policy - Consumables may not be used (i.e. jumper wires, solder, flux, bolts, etc.) and should be brought by members.
Other Design Teams Use
The SDC is a community where sharing resources is quite common, as some teams have equipment others need. WARG is a benefactor in this and strives to be an integral part of this community. Individuals from other design teams are welcome to borrow WARG equipment as long as the following guidelines are followed:
Active SDC teams only - We can only loan to other SDC teams as those teams have completed the required safety training and are members of the design team community.
Team or Sub-Team Lead Permission Required - Team leads permission is required for WARG to loan to another team. This is so WARG can ensure we do not require the items in the near future.
Team leads are responsible for checking with the relevant sub-team leads to ensure their team will not require the equipment.
Further, leads are responsible for verifying the person requesting truly does belong to the design teams they claim to.
Take ID - The team member loaning out the equipment collects a Watcard or Drivers’ License to hold on to while the equipment is used.
If a member is leaving and the equipment needs to be borrowed for longer, the responsibility to give back ID should be assigned to someone else in the bay and pointed out to the member borrowing equipment.
If the member responsible for collecting ID needs to leave, they should ask for the equipment back, or follow the policy under “For limited durations only” to gain approval for an overnight loan.
For limited durations only - The loan duration is not to be done overnight or past when a member will be in the bay without a member of the team’s executive signing off. A team executive should document the reasoning for allowing the longer-duration loan as well as a plan for a return date.
Equipment cannot leave the SDC - When loaning equipment to other SDC teams, we must verify they understand that they cannot allow others outside of the to use our equipment for safety purposes.
Equipment cannot be sub-loaned - The team we loan the item to is directly responsible for that item and managing it. They may not allow other SDC teams or people outside of their to use it for any reason.
Documenting Loan -The loan must be recorded in discord in #paperwork-hell with the equipment loaned out and the name of the person + team in the message.
Follow Consumables Policy - Solder, heat shrink, paste, and other “small” consumables are permitted to be loaned out to other design teams with a reasonable amount. The definitions of ‘small' and ‘consumable’ are left to the discretion of the sub-team lead responsible for the consumable, but common sense should apply. When in doubt, defer to a sub-team lead or team exec.
