Introduction

This document is intended to be used by Directors at the start of each term to ensure that all preparation tasks are completed.

SDC Tasks

Reset the Bay Code

Email Graeme Adair to change the bay code. Update this document once complete: Bay Code

Reset the Outlook Password

Use https://idm.uwaterloo.ca/watiam/login.jsf?prompt=true to reset the Outlook password, then update in Bitwarden. Include the old password in the notes section.

Reset the Gmail Password

Reset this password through the Google account settings, then update in Bitwarden. Include the old password in the notes section.

Reset the Bitwarden Password

Reset this password through the Bitwarden account settings, then update https://discord.com/channels/776618956638388305/1239760134666715217 with the new password.

Update Leads List

Update Lead List with the current leads.

Update the Team Directory

Meet with SDC Leadership (optional)

Meeting with Prof Teertstra ahead of the new term is a good idea, especially if we have significant competition or team updates to share. The agenda for this meeting usually includes:

  1. This year's competition results

  2. Plans for next year’s competition

  3. Significant sponsor updates

Update Team Roster

Form Side

Access the form from MS Forms and update the title to include the upcoming term. Some dropdown items in the form may need to be updated (for example, the graduation years may need to be added and removed ahead of the fall term).

Power Automate Side

Update the term pre-fill field in MS Power Automate to the upcoming term (for example, “F25”). This ensures that the master spreadsheet populates properly and is sortable by term.

First Announcement

The first announcement of the term should include the following:

  1. Fill out the new team roster

  2. List of recruitment events and where/when they are being held

  3. Finalized weekly meeting schedule (subteam meetings)
