Dear, [COMPANY]
My name is [NAME], and I am a part of the Waterloo Aerial Robotics Group (WARG). We are a student design team run at the University of Waterloo, and we were hoping that you might be interested in sponsoring our award-winning team!
We compete in the Unmanned Systems Canada competition to demonstrate our system’s effectiveness to industry professionals from across Canada. Throughout these projects, our mission has always been to design and develop a robust autonomous aircraft system, which can be modified for a variety of surveillance and object retrieval objectives.
For the team to compete in this competition, as well as to provide a better educational experience for students in our team, we need the help of sponsors. On behalf of WARG, I am inquiring as to whether [COMPANY] would be interested in aiding our cause.
Sponsorships can take many forms:
Monetary sponsorship, split into separate tiers and benefits
Supplying equipment or services such as sensors, actuators, and software licenses
Providing mentorship and guidance to the team with industry experience
We are open to other creative ways where you can show your support!
By supporting our robotics team for the 2021-2022 year you will:
Build brand value and enhance your corporate image. The majority of Canadians have a better opinion of corporations that integrate a good cause into their business and are more likely to buy products from a company if they know it has brands that support youth endeavours.
Attract new customers. University students are social, which gives your <product/business> authentic access to a network with a large word-of-mouth marketing potential. After all, it’s likely that many of our students will be customers of your product during a co-op or upon graduation when they enter the industry. Why not start off on a good foot?
Help shape a new generation of engineers. We do a lot of hands-on work here at UWARG, and in doing so, creates opportunities for students to experience all aspects of the engineering design process, and familiarize them with industry standards
Be recognized. With Waterloo being well known as a world-class engineering school that prepares students for future success, and your generosity plays a huge role in improving the quality of the opportunities available. And we make sure to let others know how much we appreciate your contributions.
Get some exposure. (based on sponsorship package) Want to really get your brand out there? Our workshop is located in a high-traffic area, where our sponsor’s logos are provided exposure to young engineers, computer scientists, faculty, and visitors alike.
Receive spicy promotional material. Apparel provided at any sponsorship level will be worn by members of the team in the workshop and around campus. We’re also more than happy to provide promotional photos of the team wearing the provided apparel upon request.
Gain recruitment opportunities. Our team is home to some incredibly talented students, and through sponsoring us, you’re getting access to a pool of fresh talent.
Garner our unwavering gratitude. No, seriously. It is because of sponsors like you that we are able to work on exciting projects like this.
We invite [BUSINESS NAME] to connect with the community and join us as a sponsor to support University of Waterloo’s Aerial Robotics Group.
If you have any questions, please do not hesitate to email me!
Thanks,

Sponsorship Cold Call
Hello! May I speak to the person who is in charge of community outreach or public relations, please? (if the situation permits, if you’re calling someone who’s already one of our contacts then obviously do not ask this)
….
[Intro]
Hello! My name is [NAME], and I am a part of the Waterloo Aerial Robotics Group. We are a student design team run at the University of Waterloo, and we were hoping that you might be interested in sponsoring our team!
[Who we are]
As a student design team, we develop aircraft systems that operate autonomously. The aircraft can be used for surveillance purposes as well as to transport objects to different locations. We compete in the Unmanned Systems Canada UAV Competition, in which our aircraft has to complete various tasks.
[Company's Policy]
Before we go any further, may I ask if your company has any sponsorship guidelines?
a. Yes, we have sponsorship guidelines:
Review/Record the company’s sponsorship guidelines.
Ask follow-up questions if necessary.
b. No, we don’t have guidelines:
Try asking them the following questions below:
What is it that your company does?
What kind of community outreach do you usually do?
What kind of marketing and advertising are you interested in?
Tie these questions into the benefits of sponsoring:
[Benefits]
We put our sponsor’s logos on our website, workshop, T-shirts, and our competition aircraft. Your company’s logo will be exposed globally, as we compete with other universities around the nation! Our workshop is located in a high-traffic area of the University of Waterloo, where visitors, young engineers, and job seekers frequently visit.
[The Ask]
