This is a high level generalized list of tasks that are required to be done before, during, and after competition. Specific checklists are in the appropriate competition year page.

The table is a visual aid of the timeline.

Before travel

Everything that is required before leaving Waterloo.

Months to weeks before departure

Paperwork:

• Flight licencing: Everything required to legally fly

  • Pilot: Advanced RPAS licence

  • Drone: Registration

Competition:

• Presentation slides finalized

• Report template finalized

Equipment:

• Competition drone:

  • Ready to fly

  • Tested with all equipment on drone

  • Dry and wet rehearsals completed

• Packing equipment checklists created and finalized

  • Including travel equipment to tie down work equipment (e.g. straps with ratchets)

Travel:

• SDC vehicles booked

  • Roster to vehicle assignment (which vehicle are people travelling in)

  • Truck training completed

  • Confirmation of vehicles in good condition

  • Roadside assistance procedures

• Hotel rooms booked

  • Hotel booking criteria: TODO (plz non sketchy area)

• Travel schedule and rest stops planned

Day before departure day

• Load and tie down drone in SDC vehicles

• Load and tie down work equipment

• Move SDC vehicles beside/inside E5

  • Verify petrol level

Travel:

• Pre travel briefing

  • Departure time

  • Overall schedule, route, rest stops, and hotel rooms

  • Expected arrival back in Waterloo

  • Expected personal paperwork (e.g. health card) and luggage (e.g. limit to carry on suitcase)

• Exchange contact information

• Confirm location sharing working

Departure day

On the day of departure.

• Bathrooms used immediately before departure

• Navigator sets map destination

  • Driver confirms expected route (scroll through maneouvres)

• Driver takes attendance (don’t leave anyone behind)

During

While travelling.

Travel:

• Communicate with other vehicles

  • Confirm next stop

• At rest stop:

  • Confirm time to spend at rest stop

  • Keep all receipts

  • All vehicles depart rest stop at the same time

    • Ensures that in the event of an emergency any SDC vehicle is not too far away to help

Arrival

After arriving at hotel.

• Check into hotel

• The goal is to not need to unload competition equipment
