Updating SDC directory
it is very out of date

Are the four safety trainings required for everyone who joins our team?
We've been enforcing it but unsure if we should tell other teams they should enforce it.
Is there a publicly posted version of “Sedra Student Design Centre Safety Manual”?
We have an old copy, couldn’t find one online?
If not, can we get one posted?
What needs to be CSA approved?
If we only intend to use something outside, can we purchase it and store it within the bay?
This seems to be a valid exceptions a lot of teams are using to get around the requirements.
Do things that dont plug into the wall not require CSA approval?
We want to use stuff at flight tests not on unversity property only, can we buy it if it’s not CSA approved?
Can we purchase a large battery bank as a buffer to get around CSA requirements?
Can we buy an ecoflow battery bank and inverter in one as a way around it?
Could we buy CSA approved circuit breakers as a buffer?
If we get a massive 12V power supply, can we connect anything to it’s output?
The other thing is like we have an inverter in the bay we bought for flight tests but like if we buy one reasonable CSA battery charger, have it charge a lead acid battery, then run an inverter off the lead acid, can we plug in anything? Like it's actually at the point where like a car battery is like 100 bucks and it's actually not a terrible idea if legal.
CSA approval requirement adds a lot of overhead effort and cost to our operations. Any loopholes we can leave open will help us a ton.
For example, a CSA approved power supply runs us at least twice as much as the exact same thing from another supplier and the hassle of getting the uncertified one certified isn't really worth it.
Is anything we build custom automatically excluded from CSA requirements?
We're at the point where building our own small power supplies and hot plates is starting to seem like a reasonable idea.
Are we allowed to fly sub 250g drones inside the SDC?
University drone policy seems to allow it.
Can we fly drones without tethering inside the SDC if nobodies around and we’re just hovering?
Tethering is a pain.
this is probably not worth asking about
Maybe something like after 10pm we get more leeway? Like there's actually nobody around.
Can we spin propellers inside our bay?
We can do it in 1401
Of course nobody in the room
People driving in the SDC
idk lame thing to complain about but this is definently not an enforced policy
Like we can’t back a trailer into the SDC and then people are driving cars around all the time in it
Daniel should apologize to Teertstra for that co-op students email fumble. that was pretty bad on my part.
prolly best to leave it without mentionning it
don’t mention it imo
In Meeting Notes
Term contact information – Google sheet updates
information sharing both ways for sdc & teams
Eddy Gordan - operations at rocketry
Yuchen Lin - UWRT team lead
a bunch of other people i cant write them all down
Aeden, Evan, Cho representing Midsun
Our google sheet is up to date.
Finance update - Sarah
Spring 2024 WEEF public balances are out
Divided weef money by term → easier to keep track of spending
Three supplier quotes required for purchases over 10k (previously 5k)
All outdated expense claim forms must be submitted by March
reimbursements must be submitted within a year
idk what this means for the apology system but didnt bother asking
Facilities update – Graeme
Borrowing tents, banners → please return properly (drop it by E5 2007)
Return vehicle keys ASAP after using
Must refill vehicle gas and report all damage
Personal vehicles cannot be parked in the bays
will be towed in the future
No bikes inside the SDC
in our bay is okay, just don’t liter the general area
Working to clean all the tape off of the floor → please remove all the tape when done
Key bays locked at all times when no one is in there
Notify campus police if you see something sus
Paint room ventilation is new → new switch procedure
Now a switch (need to hold for three seconds) instead of a dial
another meeting to review expectations for these rooms is likely coming in the future
Pressure from the deans office for waterjet → 30 cents per minute
Don’t cut anything thicker than 1/4'' in the student shop → sent to E3
Spending 3-4k a year in waterjet consumables
Trying to reduce tool overuse
Team meetings
Teertstra wants to meet with all SDC teams
Review goals, progress, future plans, resource needs
No need to speak to us (WARG)
Optional/by invitation
Invites to be sent out in the next week
Faculty advisor
nice to get advice and resources
Teertstra, Graeme, & Sarah provide a lot of support for teams that other universities don’t really have
technical advice we need to go elsewhere
every team who doesn’t have a faculty advisor doesn’t really want one
potential faculty advisors are saying no because it’s a lot of work
should set the bar lower, could call it “technical advisor” instead of “faculty advisor”
in-roads to lab and industry resources is important
Formula requires faculty advisor to attend their competition, pretty unique
engineering faculty council => top level of faculty, deans, etc.
SDC doesn’t keep track of faculty advisors, they dont have signing authority for the team
Teertstra can sign competition paperwork for us - we don’t need faculty advisor to sign this
includes NDAs, comp stuff
if Teertstra’s signature isn’t good enough then he can help take it to the dean to sign
Graeme & Brian in the student shop can offer technical advice
want to see the big picture
Brian in machine shop can do CAD reviews etc.
Also for composites stuff
Vehicles
Currently have five vehicles
Main req to drive: full G licence
Branca on leave until the end of next week
can’t reimburse gas on personal vehicles (we kind of knew this…)
except for like driving to and from competition with deans funding etc.
Trailer training will be happening this term (Teertstra to email about this in a few weeks)
CSA certification of electrical equipment
Anything plugged into the wall must be CSA approved
advice: purchase from Canadian suppliers, not from Amazon
Things that are not CSA approved will be taken by Teertstra
Minimum cost for inspector to certify tool is $500
Battery powered is okay → CSA is not required
If it cannot plug into the wall then it’s fine
So if you alter it enough that it can’t be plugged into the wall → it’s okay but it’s kinda sus
They’re not a fan of pushing the rules on this
Use reflow over in the RPC
Can ask for a proper reflow oven from WEEF
Not recommended to talk to safety office directly → will draw attention to it
WatDig is running high voltage and current → fine because it’s powered by a generator
As long as everything downstream of the power supply is low voltage
Bay inspections
Happen once a term
Typically happen after midterms
Safety captain must team up with another safety captain
Inspect each others bays
Toyota sponsorship for student teams
Every year Toyota sponsors some teams within the team
A few years ago they changed the format
they were getting contacted by dozens of teams
they would look at the team list and select a few teams
This year they will look at the team website and selecting teams
None of the teams can contact them directly
They will decide, they don't want any emails from teams
Learn trainings question: Do we need to enforce trainings?
Safety manual came apart during COVID
Not a requirement at this point
It does create extra overhead for people trying to join our team
Best practice is to do our own training
Not every team will require the same training
Think about how we would train people on our team
Three beginner courses:
WHMIS
Worker Health and Safety Awareness
Student Design Centre Safety Requirement
other one: workplace violence (we dont require this)
Maybe consider team members as volunteers not “employees”
Graeme & Teertstra are going to come up with a policy I think

Photos for report to Giving Tuesday donors
Got giving tuesday funds last november
Go back through photos
Send Teertstra a few comp photos
Important for more support in 2024
Extra meeting spaces
In CPH
Selling stuff
midsun can sell stuff to other teams
SDc teams assets aren’t on the baalnce sheets
Teertstra advises a cash box system
if a receipt from the university is required then it has to go through asset disposal proccess, Teertstra is the contact there
travelling outside of NA
expensive and more paperwork
is permissible
risk assessment forms, need 3 month in advance to start planning
